This section allows for a range of special offers to be created. This section can be found under Customers > Special Offers
Once you have entered the Special Offer section, you will see this screen:
To create a new special offer, you would start by entering a name into this box.
Once you have entered the name, you will press the ‘Create New Offer’ button here:
Once you have created the offer, the screen will looking something like this:
!IMPORTANT! It is recommended that you include details of what the offer contains in the name as this information will be available to the staff on the sales screen who can inform the customer of the offer if necessary. Example: ‘Buy 1 Get 1 Free’ is a generic name and does relate to any products. We would recommend a more detailed description, for example ‘Buy 2 Coca-Cola 330ml Cans, Get 1 Free
Next we will set up the discount method. These can found here:
The following 4 discount methods are available:
Discount Offer By An Amount
This option will discount the items in the offer by a set monetary value.
Discount Offer To An Amount
This option will discount the overall cost of the items to a set monetary value.
Discount Offer By Percentage
This option will discount the overall cost of the items by a set percentage amount.
Discount Cheapest Item By Percentage
This option will discount the cheapest item in the offer by a percentage.
For this demo offer we will be using the option, ‘Discount Offer To An Amount’ and setting the selling price to £10.
Once the price has been set, or if you change ANY information about the offer, you must press the ‘Update Offer’ button here:
!IMPORTANT! If you make any changes to the offer, you must press this update button before closing the window or selecting a different offer. If you fail to press this button, the changes will be lost.
Additional Options:
Usage Based:
This option allows you to limit how many times this offer can be activated. By default, it is disabled and looks like this:
If I wanted to limit how many times the offer can activate, for example 10 times, it would be set like this:
!IMPORTANT! You must have an offer that is not limiting its sales set to the first default option, with ‘Usage Based Enabled’ unticked.
Points:
This option allows you to modify the amount of points a loyalty customer can receive from completing an offer. You have 3 options for this sections:
0 Points - This is the default option and will only reward loyalty customers with points based on what money they spend. For example, in our demo offer, a loyalty customer will receive 10 points.
Additional Points - Based on the number of points you enter into the box, the customer will receive these points as well as points for items. For example, entering 20 into this box for our demo offer would give the customer a total of 30 points of this special offer.
Negative Points - Based on a negative number of points you enter into the box, the customer will lose these points. For example, entering -10 into this box would result in the loyalty customer receiving no points for completing this offer.
The next stage to set up a special offer is under the general tab:
Here is a brief explanation of each option in the General tab:
> Special Offer Enabled?:
This option will enable the offer to be live in your store.
Please note, only offers that are active are shown in the special offer screen by default. To view all offers, you must press the ‘Show All’ button in the bottom left hand corner.
> Apply During Normal Hours:
This is a legacy feature for older special offers. Overwritten by the Time/Date section for new special offers.
> Apply During Level 2
This option allows the special offer to be applied to an item when a level 2 price is active.
> Apply During Level 3
This option allows the special offer to be applied to an item when a level 3 price is active.
> Apply During Level 4
This option allows the special offer to be applied to an item when a level 4 price is active.
> Apply During Level 5
This option allows the special offer to be applied to an item when a level 5 price is active.
> Allow Repeat Purchases
This option allows the customer to purchase several items over several transactions to complete the special offer. For example, in a Coffee shop the customer could purchase several cups of coffee over several days, resulting in them receiving a discount on the final coffee purchase. This will also activate if the customer purchases the required number of items in a single transaction.
> Loyalty Customers Only
This option restricts the offer to a loyalty customer only. If no customer is selected the offer will not activate.
The next tab along is the Date/Time:
In this tab, by default the special offer is always active all year. It would look like this by default.
If you wanted the offer to only be active during certain times, you would untick the ‘Special Offer Always Active?’ box and fill the details below. A limited set offer would look like this:
Based on these settings, this example offer would now only activate on Saturdays and Sundays.
The next tab along is Customer:
This option allows you to restrict a special offer either by customer or customer group. It can either limit the offer so only a set customer or customer group can purchase the items or do the opposite and prevent a set customer or customer group from purchasing.
The final tab in the section is the Multi Store tab. This section allows you to limit which stores have the special offer active. The details for the special offer will appear in this section regardless of store limits.
For the final step, we will be adding the items to the special offer. To do this, you press on this button:
Once you have pressed the ‘Edit Sub Groups & Sub Items’ button, you will be taken to this menu:
!IMPORTANT! Unlike the previous screen, this screen makes changes in real time. There is no saving, there is no undoing, any errors during the creation process must be manually corrected. For example, if you add or remove the wrong product, that item must be manually adjusted in this screen.
Once you have entered this screen you must first setup the groups in this box:
By default this box will be set to 1 group, requiring 1 item. For example, the offer we are selling has a 5 item requirement. To adjust this number of items required, you would double-click the number under the ‘Product Required’ column for group 1.
Once we have adjusted the ‘Products Required’ to the correct number, in this 5, we have now set this offer to require items to activate. With currently only 1 group, the customer is able to select from any combination of items from this group in order to activate the offer. My offer window now looks like this:
An alternative setup for the special offer groups would be to have multiple groups and have the customer purchase the required number of items from each group to activate the offer. If this offer was to require 5 different items to activate, then it would look like this:
With this setup, the offer requires the customer to purchase 1 item from each group in order to activate the offer. This would be designed for offers that have a setup combination of items and customers can not mix the items. Furthermore the item requirement does not have to be limited to 1 and can be set to any number of products required to activate the offer.
The next for the special offer is to fill the single group that requires 5 items to activate with the products. Once you have highlighted the the group on the left (if you only have 1 group it will be automatically highlighted), you can search for items in this box:
Once you have search for items, the results will appear here:
You have 2 options for setting up the items in the special offer. Firstly, you can apply the offer to individual items, or you can add an entire type or type/sub-type to the offer and then every item under those types would be affected. For the purposes of this offer, we are adding in an individual item.
Once we have search for an item, the results will appear like this:
In this example I have searched for Coca-Cola 2L Bottle and the item has appeared in the search result box, in the top right.
Next we will click on the item required for the special, depending on how you search, you may see more than one result, then press on this button to add the item:
Once you have press this button, the item will appear here:
With this example, once the single item is in the item offer box, this offer is now live in your store.
On the sales screen, once an item from an offer is entered into the cart, the price will highlight orange.
Once you have entered the correct amount of products to activate the offer, the highlighting changes to purple and looks like this:
